GUEST EP - FatCat+ClientServe
Your Leads Are Not Dying at the Top of the Funnel. They Are Dying in the Gap.
Most replacement contractors assume that a slow month means the marketing stopped working. The latest episode of Digital Marketing for Contractors makes a different argument: in a lot of shops, the campaigns are fine, the leads are real, and the money is being lost somewhere between the moment a homeowner reaches out and the moment somebody answers.
Instead of the usual back and forth between hosts Caitlyn Noble and Meredith Medlin, this episode runs the full ClientServe.ai webinar that the FatCat Strategies team hosted live. Caitlyn, managing partner at FatCat, walked through the lead response problem from an agency point of view, and Sam, co-founder of ClientServe, demonstrated the platform live on air. Here is what contractors listening in should take away.
The Wednesday Afternoon Problem
Caitlyn opened with a scenario that most owners will recognize immediately. Two crews are out. The owner is on a roof or in the middle of a bathroom demo. Three things happen inside the same hour: someone calls about an estimate, someone comments “how much?” on a Facebook ad, and someone fills out a form on the website asking for an appointment.
On paper that is a great hour. In practice, the owner does not get back to a phone until six o’clock. The estimate call goes to voicemail because the homeowner is now eating dinner. The Facebook commenter has already messaged two competitors. The web form has gone cold.
None of those were bad leads. The agency worked to generate every one of them, and in most cases the contractor paid for them. They died in the gap between “customer reached out” and “somebody answered.”
Caitlyn’s framing was blunt: when a lead reaches out, the odds of connecting and winning the job drop off a cliff within minutes, not hours. A lead answered in five minutes and a lead answered in thirty are not the same lead, and they are not the same business.
Homeowners Picked the Channels, Not Contractors
The second half of the problem is that response time is no longer a phone question. It is a phone question plus an Instagram question plus a Facebook Messenger question plus a website question. As Caitlyn put it, homeowners picked those channels and contractors did not get a vote.
That means the real question is not whether a contractor should be present on all of them. They already are, answering or not. The question is how a shop covers every one of them without hiring five people to sit and stare at inboxes.
What ClientServe Is Actually Doing
Sam described ClientServe as a system that gets trained once and then plugs into three places at the same time: the phone, social messaging, and the website.
Training happens from what a contractor already has. The platform ingests the website and the Google Business Profile, summarizes what it learned, and lets the owner edit it. Additional documents can be uploaded if there are catalogs, service details, or pricing notes the system needs to know. Sam said the initial setup runs in the neighborhood of five minutes, with the system live and working within ten, and that everyone who signs up gets a walkthrough from the ClientServe support team.
Phone. This was the piece that got the most attention on the webinar, largely because contractors do not want to replace a number they have been running for years. They do not have to. ClientServe connects to the existing line, and the owner controls when it takes over. The delay setting is the part worth underlining: an owner can tell the system to answer only after two or three rings, or after ten or fifteen seconds, so a human picks up first whenever a human is available. Full forwarding is an option, but so is a setup where AI only ever handles the calls that would otherwise have gone to voicemail.
The phone piece runs in both directions. It answers inbound calls, and when connected to Google Ads or Meta Ads it will place an outbound call to a new lead right away, with context about the ad that lead just clicked.
Social. Instagram, Facebook Messenger, and WhatsApp messages get answered around the clock rather than whenever someone in the office opens the app. Sam also confirmed that comment automation is being added, so a “how much?” comment gets both a public reply and a direct message that moves the conversation somewhere it can actually be closed.
Website. Rather than the old model where a chat window waits to be clicked, the assistant opens on its own and references context: where the visitor came from, what page they are looking at, what service they seem to be researching. Sam pointed out that this matters most on mobile, where an ad click drops someone onto a page and then leaves them to figure it out alone.
The Live Demo
Sam requested a call from an assistant trained on FatCat Strategies, using default settings and about two minutes of setup, and put it on speaker.
The assistant introduced itself, explained what FatCat does, asked what he was looking to improve, handled a question about promotions, gave a general answer about pricing tiers, and then, when Sam asked to speak with a person, offered to book it. It negotiated a day and a time, took his email, confirmed it back to him, and ended the call. Within seconds Sam had a confirmation text with a recap and a call link, a confirmation email, and the appointment on his connected Google Calendar.
Caitlyn’s reaction was the useful part for anyone evaluating this: it did not sound like a robot took over the experience. Tone, accent, gender, and personality are all configurable, and the version on the demo was deliberately left at a middle setting.
Control, Escalation, and Honesty
Three questions came up that owners tend to ask first.
Will customers know it is AI? Sam said ClientServe does not pretend otherwise. The system is built to sound natural, including the pauses and verbal fillers real people use, but the strategy is not deception. His read is that homeowners have grown considerably less resistant to talking with AI, provided the conversation actually solves their problem and does not sound like a phone tree from five years ago.
What happens when it cannot answer something? There is an escalation path, added at a client’s request. Owners can configure a phone number or an email address for anything outside scope, such as partnership requests, bulk work, or unusual jobs, and the system hands those off rather than guessing.
How is any of it measured? The dashboard stores every conversation with full transcripts, tags each one by outcome, including whether an appointment was booked or the caller was not a fit, and allows filtering by date. Call recordings are captured only with the caller’s consent. For FatCat clients, Sam also confirmed a WhatConverts integration, so leads flow into ClientServe and back out again and the existing reporting dashboard stays intact.
Where to Start
Caitlyn’s rollout advice was measured, and it was aimed squarely at owners who worry about handing customer relationships to software. Start where the loss is already total: missed calls, after hours, weekends, unanswered DMs. Nobody is currently answering those, so there is no relationship to protect. Keep the team on the high trust conversations during business hours.
This is also not a replacement for an office manager. It covers the hours that person is not working, and for owners who are answering the phone themselves between jobs, it buys back time that should be going somewhere more valuable.
The metrics Caitlyn cares about as an agency partner are straightforward: response time measured in seconds instead of hours, after hours capture that used to be zero, and a set rate that climbs because more of the leads already being generated actually get a conversation.
Sam closed with the point that most contractors never see this problem in their reporting. Analytics show the leads that came in. Nothing shows the jobs lost to a voicemail at 6:40 on a Tuesday. Shops only discover the size of that number after they close the gap.

Podcast Transcript
Caitlyn: Welcome back to Digital Marketing for Contractors, the show for replacement contractors who want more leads, better appointments, and marketing they can actually measure. I am Caitlin Noble.
Meredith: And I’m Meredith Medlin. And Caitlin, today’s episode’s a little different from our usual format.
Caitlyn: We’ve done a few of these.
Meredith: Yeah.
Caitlyn: So not totally
Meredith: Yeah
Caitlyn: but those of you who have been listening for a while, thank you. A while back, our team hosted a live webinar called ClientServe.ai, and the response was so strong, we didn’t want it to disappear after one showing. So today, we’re going to bring that full session, it’s about 45 minutes, to the podcast feed.
Meredith: And that means instead of our usual back and forth with us
Caitlyn: chit-chatting
Meredith: you are going to hear the webinar recording in its entirety. So if you missed it live, this is your chance to catch everything.
Caitlyn: It’s a really awesome tool. I’m excited for y’all to learn more about it, obviously. Quick note before we dive in, this was a webinar, so we were sharing our screen. There was a live demo.
Meredith: Mm-hmm.
Caitlyn: There were really cute slides. All of that was happening, but you can absolutely still get the gist of it by listening to this audio. However, we have linked to the full webinar in our show notes.
Meredith: All right, so everybody grab your coffee, settle in, and please enjoy the ClientServe.ai webinar.
Caitlyn: Let’s get into it.

Caitlyn (1): Okay. Hey, everyone. Welcome in. Thanks for spending the next 45 or so minutes with us. We’re gonna jump right in because we do have a live demo that we’re really excited about. A couple of quick housekeeping notes. Yes, we’re recording and, yes, you’re gonna get the replay. Drop your questions in the chat at any time. You do not have to wait for the end. We will be watching. And then, of course, stick around because we do have an awesome offer towards the end of this deck as well. So that being said, who do you have with us today? I am Caitlin Noble. I’m the managing partner here at Fat Cat Strategies. I know we’ve got a couple clients as well from Fat Cat on board watching today. Thank you. Welcome. We’ve got a couple of people here who are just learning more. More than a couple people who are just learning more about ClientServe and how awesome this tool is. We do specifically work with digital… with home improvement contractors in terms of the digital marketing side of things, however, ClientServe works with all of the above. So we are really excited to talk to you guys today about how we are going to book more jobs through the lens of lead generation. So Sam, I’ll let you introduce yourself.
Sam: Absolutely. All right. Pleasure to be here. I’m Sam co-founder of ClientServe, and I’ve been personally in tech for the past 15 years, and I’m very excited to have this webinar with you all today.
Caitlyn (1): Yes. Thank you, Sam. We’re, we’re so excited. So that being said, okay, so here’s why we’re doing this together. It’s super important. Fat Cat spends all day getting the phone to ring, getting web forms to come in for other our clients, but the problem that we keep running in is that what is happening after that? This is Sam’s world, so we’re gonna get into it because we’re gonna generate those leads for you, but what’s gonna happen after? So, let me paint a picture and tell me in the chat if this sounds like your business. It’s a Tuesday. Well, well today’s a Wednesday, so it’s a Wednesday. You’ve got two crews out. You’re on a roof or in a bathroom demo, and three things are happening at the same time. Someone calls about an estimate, someone comments how much on your Facebook ad, and then somebody fills out a form on your website to schedule an appointment. What a dream situation, but crazy if you don’t have help. So by the time you’re off that job and back to your phone, it’s 6:00 PM. You call back that first person, it goes to voicemail because it’s 6:00 PM. The Facebook comment, they already messaged two of your competitors. And that web form lead, it’s cold. That is what’s so hard. So none of those were bad leads, guys. We worked to generate every single one of them. You most likely paid to get a lot of them. They died in the gap between customer reached out and somebody answered, and here’s the part that hurts. The data is on, on this is brutal. When a lead reaches out, your odds of actually connecting and winning that job drop off a cliff within minutes. Not hours, minutes. A lead answered in five minutes versus 30 is a little better, but it’s different business. So channels have multiplied. It’s not just the phone anymore. Now it’s the phone, plus Instagram, plus Facebook Messenger, and of course it’s the website. Your customers picked those channels. You didn’t get a vote. So the question isn’t should we be on all of them? You already are, answering or not. The question is how you cover all of them without hiring five new people to sit there and just stare at those inboxes. So that’s our promise for today. I wanna make things very clear up front. Obviously, we don’t wanna replace your team. It’s about making sure nobody who reaches out ever hears crickets. So Sam, I’m gonna let you take it from here.
Sam: Wonderful. Okay.
Caitlyn (1): Yes.
Sam: Yeah. Awesome.
Caitlyn (1): There’s the dramatic slide that says five minutes, guys, so sorry. You have a five-minute window.
Sam: Yeah.
Caitlyn (1): Okay. Yes.
Sam: Cool. Yeah. thanks again, Caitlin. That was well said, and there’s a tremendous effort that marketing firms like yours and the team itself, they’re, the companies are providing that, those services really beautifully, orchestrating everything, having a team to manage those services. At the same time, you guys are doing a great job creating those leads and generating those leads under different channels and platforms. What we are, we have realized recently is that there’s various different ways that we could fill the gap and fill the possible points where these leads possibly drop. They’re not able to reach to the actual team members in order to get closed or in order to be answered. So with the power of AI, we have managed to create a system that is able to get connected. First of all, it is able to get trained on your data, on your website, on your, on who you are, and it is able to pick up things instantly. Like you said, you got a small
Caitlyn (1): Yeah
Sam: in order to respond to them, right? People are looking for specific services. They come across, they see the ads that are beautifully targeted, well, going after the right people. They see the ad, they pick up the phone, they start dialing. They need to hear from you within that short period of time based on research, and if you don’t pick up, they’ll call somebody else because they have that urgency of that service that day, that hour. And people are not gonna be, like, spending days and days looking for one that provides that service, so they need that immediacy. In order to be answered, given a quote, or possibly going for a conversation and going for a visit, right? So and that happens in different channels. It happens in your social DMs, it happens on your phone number, on your phone system, and it also happens on your website. Someone may actually end up coming to your website to check out the services you have, the pricing you have, and, and, and other things. So and what we have developed is a solution that is able to be trained once. You can think of it like a a simple AI that learns your business and gets connected to all the three funnels we just spoke about. Gets connected to your phone, gets connected to your social media, and gets connected on your website like a AI chatbot system. It knows your business. It has information. It knows, it knows the lead. If the lead lands on your website, for example, it gets to know that and it takes actions. It answers them 24/7. If you go to next slide you are, you are empowering your business with a tool that is able to handle different funnels or where your customers are coming to you, contacting you, reaching out for questions. They have questions to ask, they have things to validate. They wanna know if, if the, if this is a service they wanna, they they’re able to utilize in their neighborhood, in the state, in the province they’re in, et cetera, and it is able to 24/7 answer them. Interestingly, I mean, I would love to go channel by channel. Maybe if you go next
Caitlyn (1): Yeah
Sam: I can, I can show you
Caitlyn (1): we’re going to. Yep.
Sam: Beautiful. So I would like to start with the phone, right? We’re all familiar, there’s
Caitlyn (1): Yes
Sam: industries similar to what we are discussing here today, that phone is probably one of the most prominent way of communication, right?
Caitlyn (1): Yes.
Sam: They pick up the phone and they start dialing. It happens in two ways. One is they saw the ad on Facebook, Instagram, and different
Caitlyn (1): Yeah
Sam: Google, and there’s phone number. They’re like, “Yeah, let me call Caitlin and find out what services they do and whether they are able to help me with this service. I’m doing a home renovation. I’m doing something requires this and that,” and I call. And at that time, your team, yourself, you may not be around, you may be at a job itself, and if you don’t pick up or you don’t dial back to them within five, 10 minutes, they’ve already called somebody else. ‘Cause they’re not buying a car that they can wait for a month. They’re they’re asking for a service that they need the day, the week, or the two weeks after, and they’re rather warm at that moment. So if you lose that you have lost the business. You provided a great service.
Caitlyn (1): Yep.
Sam: You orchestrated a nice team to do it. You hired a marketing agency to generate the leads. And when it comes to that final closure, you left it on their own because you’re not able to be at that place at the right time. So this is where ClientServ comes in. We fill the gap of the moment you when you are not around, when you are not able to pick up the phone. A lot of the time people are at work from 9:00 to 5:00, so they call you at 7:00 PM, at 6:00 PM, at 8:00 AM, at times that you may not be around. It could be on a weekend. Would you rather have them lose lose that call and not be able to like get a response from you and you call them on a Monday morning? Or would you rather an AI autonomous system that knows your business really well, as good as probably you do, because we’ll go in a bit, you will have a chance of actually training it real, real simply by just adding a link, uploading your documents, and it learns it, and it would pick up on your behalf and it says, “Hi, I’m Caitlin. I’m a representative of this. How can I help you?” Just like a human does. So that’s a phone system.
Caitlyn (1): Okay.
Sam: And it does it in two ways. It handles your inbound calls you receive, and it also gets connected to your actual lead generation tool of Google Ads and Meta Ads.
Caitlyn (1): You’re gonna demo this, right?
Sam: Yeah, yeah, we’re gonna show you something.
Caitlyn (1): I can’t wait. No, I know, I can’t wait to show everybody, but yeah, it’s amazing. The phone part’s amazing. Yes.
Sam: Yeah, absolutely. So in, in both ways, whether you receive the phone call or your ad generates a lead that has a phone call attached to it, and at that time AI makes a phone call in order to not to lose them.
Caitlyn (1): Amazing.
Sam: Instagram, WhatsApp, and Facebook in very similar way. It depends on the business and its specific industry you’re in and, and specific region you’re in, actually it quite matters, but there are still good chances that people are interacting with you on social media. They see a post of
Caitlyn (1): Yeah
Sam: or they find your social media, they message you on WhatsApp business or on, on Instagram, and if you respond to them within 24 hours or 48 an
Caitlyn (1): Yes
Sam: they’ve already probably gone to somebody else and it’s not a lead anymore. They were warm at that moment.
Caitlyn (1): Yep.
Sam: So imagine the same AI is able to now respond to your messages and DMs 24/7 instantly, and they would feel like they’re talking to a human because its tone is not like, like Barack Obama speaks. It’s the way a human actually speaks, right? So it would make them feel comfortable, and it has the mumbles, it has those things to make it more human-like, especially when it comes to the textual conversations.
Caitlyn (1): Exactly. So there’s Messenger, that’s the
Sam: Exactly
Caitlyn (1): all DMs. Yes. So DMs through Messenger, DMs through… And are you commenting as well on, on the Facebook? Like, if somebody was to ask how much did this cost?
Sam: Actually we are adding a comment automation as well. So if you’re making posts and people comment on your, on your messaging, they would not only get a reply, but they would also get a DM
Caitlyn (1): Amazing
Sam: engages them into a conversation.
Caitlyn (1): Oh, I love it. I love it. I love it. Okay, website.
Sam: Website. Last but not least. There’s still also an, a two different scenarios that people land on your website. One is they come across you from Google Business, different places you advertise or they know your website, and they wanna look you up and see what services you offer. And the second one is ads are taking them to your to their website. So traditionally, when somebody comes on your website, what do they do? They just have to figure it out on their own and see if they’re interested, and get your contact information or book a session with you and go through the process.
Caitlyn (1): Yep.
Sam: What if there was an AI that actually wakes up on the bottom right side and says, “Hey, Caitlin, how’s it going? I can see you come from Meta and seen these out of hours. I can see you’re looking at our pricing right now. Do you want me to give you more insights? I, I’m your AI representative. I can, I can answer your questions.” And it talks to you the way we are talking right now, and it’s a voice to voice. So it engages you right away and does not leave it to you to figure it out. It engages with you right away, and it would insanely increase the chance of you closing that person because they were interested. They came all the way to your website. They’re browsing your website, so all they’re left with is just that last piece of getting closed.
Caitlyn (1): Amazing. I, it’s, it’s too good to be true. So this, this basically summarizes, right the use
Sam: Absolutely
Caitlyn (1): every. So across all four jobs, you know, it’s the same answer. Do you service my area? Do you do financing? How can someone come out? It qualifies the tire kickers from the real ones. It hopefully will book the estimate and flag the hot high-value ones so a human then will jump in. So you get to set the rules all through ClientServe, right? And then it goes from there.
Sam: Absolutely. That’s true.
Caitlyn (1): Okay. It’s, it’s a dream come true. So you get to stay in control, which I love. The AI clears the noise in the after-hours, which we know… I mean, like, let’s be honest, I mean, I’m sitting here, I’m working in front of a desk all day. I don’t get home until after hours, and I notice there’s an issue with my roof. You know, I want immediate response. And so to know that this is something that can happen is huge. ‘Cause you guys who are on here as well don’t need to be working 24/7. You just don’t. And so let’s get into it, ’cause I know this is, this is the moment. I can… I think I’m gonna stop sharing. We’re gonna do a demo. Is, are you ready to roll?
Sam: Absolutely.
Caitlyn (1): Okay, here we go. Sasha’s helping from behind the scenes, so hopefully I’m doing this right.
Sam: Awesome. Before I start what I wanna mention here is a lot of the time when we hear AI and we hear the new trend of what’s going on with the, with the whole industry we are a bit baffled with the fact that it’s too complicated.
Caitlyn (1): Yeah.
Sam: Right? We’re like, “Okay, what is this? I need to figure it out. I need to sit down. I’m gonna make a mistake. It’s my business. How do I assure that this is actually doing the way it is expected to do in the same manner and the same fashion that I wish it to do?”
Caitlyn (1): Mm-hmm.
Sam: And there’s, there’s a lot of things that in, in our past experience a lot of businesses are concerned about, and we have really simplified it by providing a, a simple dashboard to you that I’m about to share that gives you power to control things, and things are not behind the scenes, and it, it just worries you. So if you allow, I’ll share my screen real quick.
Caitlyn (1): If, if, yes. Oh, I can’t wait to see this.
Sam: All right. Are you able to see my screen?
Caitlyn (1): Yep.
Sam: All right. In this example, we are gonna take our one and only Fat Cat Strategies as an, as a, as a test company. So I’ve added their data here. We are gonna see a virtual assistant for Fat Cat for, for the, for the for the phone call, and also we’re gonna see one of our recent clients that we have tested this with, and they’re using our chatbot for. But before I start, I would love to show you the, the two key things when it comes to the phone number we are about to test.
Caitlyn (1): Mm-hmm.
Sam: One is that first of all, you, there’s two ways you’re able to handle the phone communication. AI is able to get connected to your existing phone as well, right? So you have a specific number you have been doing business with for years. We’re not gonna change that. We are gonna empower you to connect AI to that existing phone number of yours while you stay in control of freedom of when and how you wanted to manage that. Let me show you how it works. In the panel that you will get within 10 seconds of signing up to the application, you’ll see an area where you’re able Go to the settings and train your system. This whole setup will take you in less than two minutes to to set up. You come to a knowledge base, and you’re able to train your AI with your through your business name or through your website. It learns all about it within two or three minutes. It, it summarizes it, and it allows you to edit things, if you will. It learns about your business. Everything you have provided on your website, everything you have provided on your Google business name will be added here, and it gets savvy on it. You also get a chance of uploading further documents if you wish it to get to know some of the catalog, pricing, and other information you want it to be aware of as well. But within that instance, it knows it. You’re able to connect your Google Calendar to this. In this example, I’ve connected mine. And so if your business allows people to book a time for a visit, for consultation, for anything similar to that, you’re able to add your calendar to this so AI would be able to book people on the phone.
Caitlyn (1): Mm.
Sam: And that’s within one button, and you’re able to provide your availability. Third, you can define the tone of your agent, how you want it to sound, and some of the things that some businesses wish to just customize. And it is here how you want it to welcome, talk, et cetera. So you get quite a bit of number of choices here. You want it to be warm, professional, how you want it to sound like what is the tone to be like. You get a lot of choices here. And lastly, you’re able to connect your phone. So you can connect your existing phone by clicking on this button. Choose the three wonderful countries we are serving right now. I choose States for this example.
Caitlyn (1): Yep.
Sam: Choose your provider. And here’s a beautiful part of this. Sometimes you don’t want AI to pick up the phone. You want it to pick up at specific times or specific occurrences. Many of our clients are using it with a delay. They wish to say, “If I’m around, I wanna pick up, actually. If I’m not around, I want AI to pick up.” So why don’t I set it up with a delay? I can say after two rings or three rings, only AI picks up.
Caitlyn (1): Mm.
Sam: If it rings once or twice and I’m around, I wish to pick it up myself. Absolutely. Or you can say, “I wanna forward it completely to AI.” It’s up to you. You can say within three seconds, within fifteen seconds, or ten seconds delay. So if I’m not around within the first ten seconds, AI would pick up. And all you need to do is dial this number on your phone, and your AI is already connected to
Caitlyn (1): Wow.
Sam: Your phone is already connected to the AI, and we are done.
Caitlyn (1): And I guess you’ve got great support. Your agency can help if… You know, I know how to do this. Our team knows how do this, which is great. So if this seems, like, overwhelming and too techy, obviously we’re here help.
Sam: Anyone, anyone who signs up on the application will get a free demo from our
Caitlyn (1): Perfect
Sam: support team. So we are gonna not only help you set it up, but also walk you through how things are.
Caitlyn (1): Perfect
Sam: it is fairly straightforward. Anyone who has seen our demo within twenty minutes, because of the
Caitlyn (1): Yep
Sam: it is fairly straightforward to set it up. The second thing in the same regard is connecting your ads. So if you’re running ads, you’re able to connect your Facebook, your Meta ads, or Google ads to it, and it gets access, gets connected. Right now I’m not running an ad, so I’m not able to show that to you. But you are able to just click on it, get access, and it gets connected. So now you have trained your AI. It knows all about your business. It has the access to your calendar. It talks the way you want it to talk. It’s a male, female, British, American, Canadian, et cetera. And it has your phone access as well. So it is able to make both outbound calls when a lead is generated on your Google ad or Facebook ad. Right away, it calls it up.
Caitlyn (1): Good.
Sam: Or it is able to answer the inbound calls you receive when you’re not around, the second ring, third ring, and fourth ring, twenty-four/seven.
Caitlyn (1): Wow.
Sam: Let’s just give it, give this a try. I spent two minutes just adding Fat Cat
Caitlyn (1): Uh-oh
Sam: into this. So this is gonna just present you guys. And I’m, I’m just going with everything default, to be honest. I’ve not made this the best experience because I wanted to
Caitlyn (1): Oh, that’s fine
Sam: you the simplest example of it. So I’ll just put down my phone number. And let me just request a call. And we should be able to receive the call in a second. On three. Okay, let me just make it loud and clear. Yeah. And remember, the voice you’re gonna hear is something that you’re able to customize, optimize, add, drop. Even the tone, it can be more friendly, professional, et cetera. So I’ve chosen a medium design of it. So I’m receiving a call.
Speaker 5: Hi, Sam. Thanks for answering. I’m calling from Fat Cat Strategies, digital marketing for contractors. Do you have a quick moment?
Sam: Absolutely. How’s it going?
Speaker 5: Great. Thanks for asking. Quick reason I’m calling, we specialize in digital marketing for contractors, helping with lead generation, website optimization, and online ads. Anything in particular you’ve been looking to improve with your marketing?
Sam: Absolutely. Actually, I came across your, your promotion on the, on the ads, and I was interested in knowing more about it.
Speaker 5: Got it. That’s great to hear. We’ve got a few different promotions running. Are you thinking about boosting your online presence or maybe targeting specific types of leads? Let me know what caught your eye.
Sam: Yeah, yeah, targeting specific leads, and maybe perhaps I, I would love to speak to one of your team members so they can walk me through the pricing, or if you have, you can tell me more about it.
Speaker 5: Sure thing. I can give you a quick overview on pricing. We offer packages that vary depending on the level of service, typically starting around a few hundred dollars a month for basic lead generation.
Sam: Yeah. Well, the pricing, that’s fine. Would love to just maybe speak to one of your representatives. Can I book a call with them?
Speaker 5: Absolutely. I can help with that. Do you have a preferred day or time for the call, or do you want the soonest available slot?
Sam: Sometime early next week would do.
Speaker 5: Got it. How about Monday or Tuesday morning? Any particular time that works best for
Sam: Yeah, Tuesday morning is good.
Speaker 5: Perfect. What time on Tuesday morning works for you? Something like nine or ten AM or a bit later?
Sam: Yeah, maybe ten AM.
Speaker 5: Great. I’ll set that up for Tuesday at ten AM. Could you share your email so we can send over the confirmation details?
Sam: Yeah. My email is sam@clientserv.ai.
Speaker 5: Thanks. Let me confirm. That’s sam@clientserv.ai, right?
Sam: Yes.
Speaker 5: All set. We’ve got you down for that call on Tuesday at ten AM. You’ll get a confirmation, and if anything changes, just let us know. Looking
Caitlyn (1): just get a text?
Sam: Thank you very much. Bye. So as you noticed, I, I did get a text that confirmed the call. I did
Caitlyn (1): Wow.
Sam: I did get an email that confirmed it, and it is showing on my calendar already.
Caitlyn (1): What? Uh-oh.
Sam: So this little text, it says, “Hey, this was Fat Cat Strategies. We spoke on the phone. This is a recap. This is a call URL, and I’ll see you next week.” So specifically on the, on the pricing side, we have not added it because this is you know, something that needs to be spoken normally on, and people don’t have the pricing finalized. But this was an example. So it is able to get to know things, book a call, or speak to you guys and, and, and, and get things going. And the strategy of how this is done for the outbound and inbound is slightly different. So if it’s making an outbound call, it knows the ad you already clicked on. It knows who you are, so it says, “Hey, Kathleen, I’m calling you regarding this that you just clicked on. I would love to tell you more about it,” or, “I wanna book you, book you in,” or et cetera. So if it’s inbound, it answers it, and it asks what they’re interested in, right? So this was a simple of a, of an inbound call we just displayed. If I
Caitlyn (1): Yeah
Sam: if anyone in the audience has questions, I would love to hear them in the chat. Otherwise, I’ll just proceed and show you another example of how our actual chatbot looks like that can be in the same manner added to your website.
Caitlyn (1): Sam, I think we’re good question-wise for right this second. But we do have some that we’ll do at the end. So yeah, go ahead.
Sam: Sure.
Caitlyn (1): Let’s show us the chatbot.
Sam: Okay. Absolutely.
Caitlyn (1): Thank you.
Sam: So Yeah, this is example of our chatbot. This is one of our actually, actually use cases. So imagine your AI representative now sits in the bottom right of your website. We all have seen the legacy or the previous type of chatbots that have been existing in the market. But this one specifically, it’s coming from the same data we have trained before, right? So it knows that, and also it, it opens up in this way. So if somebody lands on your website and goes on a specific service that they’re being advertised to, AI would automatically open up and does this. Let me just share my show you the experience of it. Hey there.
Speaker 6: Hey, Sam. Good to hear from you again. What would you like to dive into next?
Sam: Well, I saw your your, your promotion on the, on the services you provide, so I wanted to just you know, get to know a little bit more about it. And where is where is your company based in? Do, do I know that?
Speaker 6: We’re all about providing real-time AI avatars that businesses can use on their websites, in apps, or even for live demos. As for where we’re based, well, we primarily operate online, serving clients wherever they are.
Sam: Right. Okay. That’s good to know. And when it comes to your services, can you give me a breakdown of it?
Speaker 6: Sure thing. We offer real-time streaming AI avatars that can lip sync, use custom voices and accents, and even be trained on your own data. You can integrate them into your website or app, and they’re for interactive customer service or demos.
Sam: Okay, cool. So I’ll pause for a second here. So what happens here? I mean, what is the intention of this actual implementation here? The intention is, we don’t wanna leave people to their, to themselves when they land on the website. So imagine an agent that opens up right away, knows the lead you’re… This was an example of a, of a, of a product. Knows the service you’re looking at, and knows what you advertise, and starts asking you questions in order to engage you and close you in the same manner that AI phone call does, right? It does not leave it to you. It knows even where on the website you are in. So, and it acts like the actual salesperson that you wish you had to, to be able to speak to anyone who lands on your website. The, the numbers and the ratings out there to the number of traffic we receive on our website, and the number that actually convert is insanely low for all businesses across the world. Because people come on our website, and they don’t spend enough time to figure out what they wanna do, and they need just a little bit of push in order to get closed, and we are losing thousands of dollars every month. If not, we have businesses that lose hundreds of thousands of dollars, and just because they’re not able to actually get engaged with their clients and fill the gap that they have in mind in order to get closed. So this was another example that an AI chatbot that opens up, especially on your phone when you get redirected to a website. You You’re seeing the ad, it opens up on your phone and is able to answer your questions, and book you in or engage you with the services.
Caitlyn (1): I’m obsessed. This is, this is a game changer.
Sam: I’m sure.
Caitlyn (1): Yeah. No, it’s amazing. I mean, and I genuinely feel like, you know, now that you’ve done this, I feel like I maybe have interacted with something similar, and I had no idea, like, that it was a robot.
Sam: Yeah
Caitlyn (1): I’m also, you know, a young mom and I’m tired and
Sam: okay
Caitlyn (1): but it sounded so natural. I mean, it never sounded like a robot took over the experience. It was just lovely, so.
Sam: Right. And it, and it possibly can be a lot better and with your tone. You can
Caitlyn (1): Yes
Sam: define it to be very friendly, and it can talk to your colleague or as if you’re talking to your friend, so it’ll be very comfortable.
Caitlyn (1): Now I need to figure out how to get that voice to record the podcast for me and future webinars for me. Oh, man. I love it. I love it. I love it. Well, thank you. Thank you for that demo. That, I couldn’t wait to see it. And I know everybody’s probably, you
Sam: Yes
Caitlyn (1): sparking some good ideas from it. So just to kind of bring marketing back into this and why it’s so important, let’s actually talk about, you know, what this actually changes in terms of the numbers that you care about. Obviously, we as your agency are constantly looking at lead volume and where those leads are coming from. And then if we’re really on it, you know, we’re talking to you about if those leads are setting and selling. So having something like this will absolutely bring those set rates up, so that’s fantastic. So response time, that needs to go, that can go with something like ClientServe from hours to seconds, as we saw. Speed to lead, this is the metric that most predicts whether you’re gonna win the job. That’s 24/7. After-hours capture, that is also all the time, like all of those after-hours leads that are coming in because you just got home from work and you realized your kitchen was a mess, like, or your bathroom wasn’t safe, or something happened.
Sam: Yeah.
Caitlyn (1): You’ve got somebody there to absolutely capture that. And then of course you’re going to see those appointments go up, that set rate go up, and more appointments are gonna be booked, which ultimately is going to pay the bills for the long run. So very, very, very impressed by this.
Sam: If
Caitlyn (1): Please
Sam: just wanna add a quick point here. In, in one of our recent client interactions we had we mentioned this and it was very interesting. And the point is we do not realize the leads we are losing.
Caitlyn (1): No.
Sam: Poor realization that as a, as a whole we have over people who we could have closed and we are losing just because we don’t have enough infrastructure in place in order to engage at the right time, at the nick of the time that they’re interested in. And there’s absolutely no stats into providing that. You add Google Analytics, you look at the number of calls you receive, you look at the leads that are generated. But because there was no mechanism to really attend to them at the highest level possible, you do not realize what you’re missing. When You start implementing tools like this, you will start realizing that, oh my God, it was not necessarily my lead generation marketing scheme or the, or my actual campaigns that were not doing great. My campaigns were doing actually great. I was doing, I was providing a, good service as well.
Caitlyn (1): Yeah.
Sam: My marketing firm was doing fantastic. I could, I, I was just losing leads because of the little loopholes in the in the process here.
Caitlyn (1): Yeah No, that’s completely correct. And something that, you know, we, you know, use tools even like WhatConverts there’s CallRail, things like that, where we can see the volume of leads coming in.
Sam: Mm-hmm.
Caitlyn (1): But then you do see, okay, these calls weren’t answered, these chats weren’t answered, you know? And then this form took two days to get a response to. So a tool like this, I, I just, it’s, it’s amazing, so.
Sam: If, if I may, if I may to add to that.
Caitlyn (1): Please.
Sam: Whatconverts is a great tool. It provides a lot of analytics, and we have an integration with WhatConverts.
Caitlyn (1): Oh.
Sam: So if you happen to… Absolutely. So if you receive a lead on WhatConverts, we will immediately get notified. We allow you to connect your WhatConvert account to ClientServe instantly. Within 10 seconds, you’re able to connect that, and any leads that you receive on your WhatConvert through the ads would get connected to us and would also get bounced back to your WhatConvert. So you can maintain your dashboard, and you can continue tracking your things on WhatConverts.
Caitlyn (1): That is awesome. And I think that’s kind of what brought all of this together is ’cause we’re WhatConverts advocates as well, and then you, you guys reached out. But anyways, that being said, yay, our clients who are on here and are already on WhatConverts, let’s do this. Okay, I did wanna make a note real quick because I do hear concerns always, and I, I completely agree coming from an owner as well, where a relationship really does matter. That is the heart and soul of your business. So of course, the rollout of this is going to matter. I would say start with the stuff that’s pure loss right away, missed calls, after hours, unanswered DMs, and you keep your team on the high trust conversations. If you are, you know, so don’t worry about changing up the the phone system right now during the day, but, like, after hours, no-brainer. So those customer experiences are going to instantly improve. So yeah, just I, I think that’s the biggest thing. It’s not gonna feel like a robot took over, but just where are the gaps and where are you losing traction right now? I think that’s a perfect spot to start with a tool like ClientServe.
Sam: Well said, Tiffany. Yes.
Caitlyn (1): Thank you. Thank you. Okay, I’m excited. This is all you. I think you gotta share an amazing offer for everybody today
Sam: Yeah. In our
Caitlyn (1): Yeah
Sam: in a wonderful collaboration that we are making with Fat Cat Strategies, we would love to offer 50% discount for the first three months of Fat Strategies clients and, and anyone who’s joining this webinar.
Caitlyn (1): Yes.
Sam: And we would love you to just dip your toes in the water of a very autonomous system that does not really involve you as much, does not really make you spend hours and days and days of work to get it set up, and it’s sophisticated. A simple tool that does a great job in under five minutes.
Caitlyn (1): It’s, it’s amazing. Yeah. Scan the QR code. We’re gonna obviously send all of this out with the link and and so forth. There is a discount code, but again, if you guys even reach out to Sam directly or mention the webinar, they’ll honor that offer. If you reach out to us, we’ll connect you with Sam, and they’ll honor the discount, but I mean, that within itself is gonna pay dividends, so.
Sam: Absolutely.
Caitlyn (1): Yeah. Okay, a couple of questions, Sam. You and I you’ll probably take most of them, but let’s talk about will the customer know if it’s AI? I mean, I know we just watched the live demo,
Sam: Right. Well, here’s, here’s an approach we’re taking. We’re never pretending to just say, “Oh, let’s just make it human-like enough,” or, “Let’s just pretend it was a human.”
Caitlyn (1): Exactly.
Sam: I think the market is getting used to the fact that they’re talking to ChatGPTs of the market every day. They’re learning that at the end of the day, they want their problem solved. They wanna, they wanna get the service they want. They wanna learn about things they were interested in learning. So despite the fact that we have made it very, very human-like experience, it even mumbles, sometimes it thinks, it says, “Oh, well, let me check that out. Let me, let me think about that,” or whatever. Despite the fact that it does all that we are, again, we we have made it very comfortable so people don’t feel like they’re talking to a robot, but the market has changed, and that sort of a reluctance or resistance people used to
Caitlyn (1): I
Sam: order not to talk to an AI has been insanely reduced, and people are just more interested in getting their problem
Caitlyn (1): Yes
Sam: and getting things going.
Caitlyn (1): I completely agree. The instant gratification, I don’t care. I don’t care if it’s a robot, honestly. I’m gonna get my question answered or I’m gonna get my appointment booked, and I don’t have to wait two days, so I completely agree.
Sam: As long as it doesn’t sound dumb and very, very, very robotic the way it used to be five years ago.
Caitlyn (1): Yeah.
Sam: So,
Caitlyn (1): What about, I mean, gosh, what, I’m sure you, like, what if it can’t answer something?
Sam: Right. So there’s actually another thing we have added here, and that was through a client request a couple months ago. And we have an escalation strategy. So we allow you to provide a phone number to your dashboard and say if it, if people ask, like, they wanna talk to the
Caitlyn (1): Sure
Sam: they wanna do a partnership with us, they wanna get a big deal, they have a bulk number of jobs, et cetera, whatever that is, that we’re not able to answer or handle, we get, we forward the call to that number you have provided Or we ask you to just contact this specific email. So you have a chance of writing that escalation in your dashboard in order to handle things it is not able to answer for any reason.
Caitlyn (1): I love that. Yeah. that’s fantastic. You know, and that’s, I think that solves it. So if it can’t answer something, I think from what I heard from even that experience that we just went through
Sam: Right
Caitlyn (1): the robot is gonna be honest and just say, “Hey, let me get your information.” And that’s the end all be all. You know? You were answered, “Let me get your information. We’ll get right back to you.”
Sam: Awesome
Caitlyn (1): you’re gonna get back to them with a text pretty quickly and an email, so. You’ve said it, but I just wanna make sure everybody knows it. How long does this take to set up?
Sam: Well, we’ve had people who set it up in a minute, people who are very tech-savvy, but I’ve not heard anyone who would… I mean,
Caitlyn (1): Yeah
Sam: because of the optionalities that you have in your dashboard, if you’re interested in, like, changing your tone or you want it to sound more like a British or an American or a girl or a boy or or a mid-aged person, et cetera, you obviously would spend more time. But on average, within five minutes you’re able to actually set it up and test it out, and within 10 minutes it is already working.
Caitlyn (1): That’s fabulous. that’s incredible. And no, this is not gonna replace an office person. It just can’t. You know? that position, that position of somebody who does receive those calls during the day, like, you know, you’re there. that’s a important reason. I mean, I guess it could if you didn’t have that role filled, right, Sam? Like, if you didn’t have somebody who was answering
Sam: Yeah
Caitlyn (1): forms for y’all. They totally could fill that position.
Sam: Right. or if you were answering them yourself.
Caitlyn (1): Exactly.
Sam: definitely save you time and free you up in order for you to do more jobs or more, do more important stuff.
Caitlyn (1): That’s absolutely right. And then in terms of how does it work with my Fat Cat leads, like I said, we’re generating leads for your website, we’re doing social media for you, we’re getting you phone calls, you name it. So obviously this is gonna work no
Sam: Mm-hmm
Caitlyn (1): how you generate those leads. I mean, LSA you can have after hours now if you don’t. Like, all of this is fantastic, so I think if anything it’s just going to bring our close rate as a group up and more sales, which is awesome. I think that’s really great. And then in terms of measurement and so forth, you know, I’m sure you guys have a good dashboard that you’re tracking how many calls came in and so forth and the response time and all of that, but the costs will pay off in the long run.
Sam: Absolutely.
Caitlyn (1): Oh, are you gonna show? Yeah, there you go. Boom.
Sam: you get a beautiful dashboard that shows you all the calls you have received, even the conversation is
Caitlyn (1): I
Sam: so you can see exactly what went on, what they said, what you
Caitlyn (1): Oh
Sam: what messages that was sent. And you can listen to a recording. Normally we have the only recording, we have the recording only if they consent
Caitlyn (1): Sure
Sam: because of the, you know, privacy policies. We ask, “Can we record our conversation?” If they say yes, we record it, otherwise we are not. But you can see all about it. And everything is gonna get tagged, so you can see that this was positive, negative, or one was like if there was an appointment book, you can see there was an appointment. If one was they said, “No, I’m not interested. This is not for me,” you will see a negative tag in here. And you’re able to, like, filter by date, et cetera, so you’re in control.
Caitlyn (1): That’s phenomenal. Cool. Thank you. Thanks for sharing that. I know we’re really heavy on data, so even if as your agency were able to go in there and compare that information back to what we’re seeing in your CRM, I think that would come full circle too. Okay, we’re at time. Two things before you go. One, we did this perfect, Sam, right at 45 minutes. We’re going to make sure you get the replay. It’s gonna be in your inbox if not today, tomorrow.
Sam: Yes.
Caitlyn (1): And then also that offer on the screen is for today, I’ll say it now, 50% off with clientserve.ai for the first three months. Sam, how long, I mean, do you think you’ll honor this? we’re probably gonna send this out, you know, maybe through the end of the week. We’ll see.
Sam: Yeah. I’m happy to keep the offer for the next week.
Caitlyn (1): Okay, perfect.
Sam: In case people need more time. So yeah.
Caitlyn (1): Okay. I’m, I love it. All right, y’all, go stop missing leads. That is your action item. Sam, it has been a pleasure. I cannot wait to work with you more, so thank you.
Sam: Same here. Pleasure was mine.
Caitlyn (1): Thanks. Thanks, guys. Have a great one.
Sam: Bye.
Meredith: And that wraps up the ClientServe.ai webinar. Thank you guys for sticking with us for the full session.
Caitlyn: If anything in that webinar hit home for you, whether it’s a question about your own marketing, your lead flow, or how your team is handling leads you already have, we would love to talk to you.

Meredith: Very on brand. And as always, thank you for listening to Digital Marketing for Contractors. I’m Meredith Medlin.
Caitlyn: And I’m Caitlin Noble. We’ll see y’all next time.
Meredith: Later.
Caitlyn: Bye.
